Getting up and running with Piper AI is straightforward. This guide walks you through the essential setup steps — from creating your account to enabling the recording bot — so you can start capturing conversation intelligence from your very first meeting. Most teams complete the full setup in well under an hour.
Many teams go live on the same day they sign up. Complete these steps before your next scheduled call and Piper will automatically join, transcribe, and sync it to your CRM with zero manual effort.

Sign Up To Piper

You’ll create your account by signing in with Google or Microsoft — see Logging In for details. No credit card is required.
Piper AI is ISO 27001, SOC 2, and GDPR certified. Your data is protected from the moment you create your account. Signing in with Google or Microsoft also grants Piper access to your calendar — there’s no separate calendar connection step (see Connect Your Calendar).

Complete the Guided Setup

Right after signup, Piper walks you through a guided setup wizard covering Company Details, Teams, Meeting Types, Agents, and Connect CRM — then finishes configuring your workspace in the background.
  • Company Details — confirm your company name, description, and primary language so Piper understands what you sell and to whom.
  • Teams — select the job roles on your team (SDR, AE, CSM, etc.), including any custom roles.
  • Meeting Types — choose which call templates each role uses; Piper pre-builds a starting set you can adjust later.
  • Agents — pick the AI agents (scheduled prompts) you want analyzing your meetings.
  • Connect CRM — connect HubSpot, Salesforce, or Pipedrive, or continue without one for now.
Connecting a CRM during setup puts your team on the Pro plan; skipping it keeps you on Starter. This is the only chance to choose or change your CRM — Settings → Integrations later only shows the CRM you already connected (for status and reconnecting), not a way to connect one for the first time or switch providers. Other choices made during setup, like Meeting Types and Team roles, can still be revisited afterward under Settings → Meeting Types and Settings → Users & Teams.

Enable the Recording Bot

Navigate to Settings → Recording → Transcription Bot and toggle Enable the Bot to on.Choose the activation rule that fits your workflow:
  • Do not activate automatically — only when manually triggered.
  • All events — every calendar event.
  • Internal events — meetings with teammates only.
  • External events — meetings with participants outside your domain.
  • Owned events — meetings you created.

What Happens Next?

Once setup is complete, Piper works automatically in the background. After each recorded call you will receive:
  • A full transcript and AI-generated summary.
  • A playbook score with highlighted gaps and coaching notes.
  • A draft follow-up email ready to review and send.
  • CRM records updated with meeting details, notes, and deal field changes.
