No AI training on your data
Piper AI does not use your recordings, transcripts, notes, CRM fields, or any other customer content to train or improve AI models — ever. Your proprietary conversations, deal details, and customer relationships remain entirely yours.This policy applies to all Piper AI customers regardless of plan. There is no opt-in or opt-out required — the restriction is unconditional.
No data retention after processing
Piper does not retain raw data after it has been processed into your transcript and structured outputs. Recordings and intermediate processing artifacts are not stored beyond the period required to deliver the feature.Recording consent management
Every recording Piper makes is GDPR-compliant by design. When the Piper bot joins a meeting, it automatically sends a connection message to all participants. By default the bot joins as PiperAI and sends this consent message:“Hi! This video call will be automatically recorded and its content may be processed by third-party providers. If you do not consent to this, please let the organizer know so that this feature can be turned off. For more information visit www.piperai.com”This gives every attendee clear, upfront notice before the recording begins. You can customise both the bot’s display name and its connection message in Settings → Users.
Transcription sharing controls
You choose exactly who can see each meeting’s transcript and recording. Three internal visibility levels are available, plus an independent toggle for sharing outside your team:Sharing externally is a separate toggle from the level above, not a fourth level — turning it on generates a link anyone can open (“Everyone with link”), no Piper login required, regardless of which internal level is set. Recipients can view the video recording and transcript and download both. They do not see internal notes, scorecards, CRM-populated fields, or the follow-up email draft — those remain private to your team.
Admin sharing controls
Admin users can change the sharing settings on any transcription they have access to. Standard users can only modify the settings on their own transcriptions.Recurring meetings
For recurring meeting types such as 1:1s, admins can configure a default visibility rule so that those transcriptions are always private. Set this up in Settings → Meeting Types.EU data residency
All customer data is stored in the European Union — always. Piper does not offer a non-EU storage option, which means EU customers never face a situation where their data is transferred to or processed in jurisdictions with weaker data protection standards. This commitment is validated annually as part of our ISO/IEC 27001 and SOC 2 Type II audit cycles.Right to delete
You have the right to request deletion of your data at any time. Upon a verified deletion request:- Your recordings and transcripts are purged from Piper’s systems.
- Any associated CRM-synced content created by Piper is removed from Piper’s storage (CRM records you created in your own CRM are outside Piper’s control).
- You receive confirmation once deletion is complete.
